Mautic campaigns range from simple campaigns to more detailed lead assignments (which we discuss here) all the way up to highly complex campaigns (which we discuss here).

In this guide, we’re going to be focusing on campaigns that fall in the middle of the spectrum, including email workflows and round robin lead assignment series’. 

Setting up a New Campaign

To start, navigate to the Campaigns section of Mautic and click “New”.

Then, you can add general information about the campaign in the main menu. Schools are required to name their campaigns, but the other elements (such as description and category) are optional. It is recommended that schools toggle the Published field to “No” while they are in the process of creating their campaign so as to prevent any errors.

Creating Email Workflows in Mautic

After creating a new campaign in your CRM, click “Launch Campaign Builder” to start customizing your email workflow campaign.

To start, you’re going to choose the parameter which triggers the workflow. This could be when a contact submits a particular form, or is added to a particular segment. In this case, we’re going to create an email workflow that begins after prospects request more information on a school’s website.

Then, when you click the plus button, you’ll be invited to choose either decision, action, or condition. In this case, we want to trigger an email to be sent, so we are going to select “action”.

Then, select “send email” from the drop down email.

You will then be invited to select which email you want to send, as well as name the parameter. In the case of a workflow, this will be the first email you want to be sent out. You can also select what time you want to send the email out, whether that be right after the contact fills out the form, or at a later time.

Then, you can begin adding the rest of the emails in your workflow. To do so, click the ‘plus’ icon on your original “contact us” parameter and select “Action”. Then, choose “send email”, just as you did before.

Then, select the second email you want to add to the workflow. In order to space out these emails over time, select “at a relative time” and then determine how much later you want this email to go out. You can space the mails out over a certain number of days, hours, weeks, and even minutes. In this case, we want the mail to be sent 2 days after the first one is received. You can also see that we’re only scheduling the email to be sent out on weekdays.

You can then repeat this process with the remainder of your emails. The only thing that changes is the email you want to send, as well as the spacing of the emails. At the end, your workflow should look something like this:

Round Robin Lead Assignment

After creating a new campaign in your CRM, click “Launch Campaign Builder” to start customizing your email workflow campaign.

To start, you’re going to choose the parameter which triggers the workflow. This could be when a contact submits a particular form, or is added to a particular segment. In this case, we’re going to create an email workflow that begins after a prospect submits a ‘contact us’ form.

Next, we’re going to assign leads to contact owners based on the answers a prospect provides on that ‘contact us’ form. In this case, we’re going to assign leads to different owners based on the campus they’re interested in. 

To do so, click the plus button and select “condition”. Then, select “contact field value”. This allows us to create certain actions based on a prospect’s response to a certain field.

Then, you can select which answer you want to trigger a certain response. In this case, the field we’re interested in is “Campus”, and we want to filter leads that are interested in the Montreal one.

Then, you can determine what you want to occur when leads meet this parameter. To do so, click the plus icon and select “action”. In this case, we want to “update contact owner”. A menu will appear that allows you to select which contact owner you want to assign these prospects to:

Then, you’re going to repeat this process with different campuses and different contact owners. To do so, click the plus button on the first parameter (which in this case is the Contact Us field parameter) and add the new campus, as well as the new contact owner.

When you’re done, it should look something like this:
